Why Are We All So Afraid?

What can strike terror into the heart of even the most successful sales professional or entrepreneur?


Cold Calling.


What can crush self-confidence, destroy self-esteem and leave even the most seasoned sales professional quivering with humiliation and defeat?


Cold Calling.


But why?


Every culture has its myths and stereotypes, and one of ours is the stereotype of the manipulative, unscrupulous salesman. The term “sales” conjures images of untrustworthiness and deviousness. We have the stereotypes of the “traveling salesman,” the “used car salesman” and, of course, the “telemarketer.”


These terms do not literally describe what the person is selling; they take on a larger meaning. For example, our cultural translation of “used car salesman” is not simply someone who is selling used cars, but instead means someone who is unethical, uncaring and will pressure you into a sale that is not necessarily in your best interest. “Telemarketer” has come to mean not just someone who sells over the telephone, but someone who interrupts your dinner, doesn’t listen and tries to pressure you into meaningless, valueless purchases. It can also mean someone who is running a scam over the telephone, usually preying on the elderly.


This is not the reality of individual telemarketers or used car salesmen. It is the stereotype. And these stereotypes do a huge disservice to most salespeople. Far too often, salespeople buy into these stereotypes, these images of untrustworthiness, placing themselves, in their own minds, on a lower level than their prospects.


If you buy into these negative images, you are at a disadvantage before you even pick up the telephone to call your prospect. It is imperative to change the way that you think about this process. Examine your intent:


Is your product or service meaningful?
Does it provide a benefit?
Do you believe in the value and benefit of what you are selling?
Are you doing the best that you know how to insure that your customers get what they need?


If your answers to the above questions are that you have a meaningful product or service, it provides value, you believe in your product or service, you are doing your very best to insure that your customers get what they needif those are your answers, why then, you don’t fit the stereotype. Stop acting as if you do! Stop apologizing. Stop feeling uncomfortable. Proceed with pride and integrity.


But there are some additional reasons that people fear cold calling. When you are face-to-face with someone, you have all of the visual cues to help you through the sales process. How does the person look? How is she dressed? What are her facial expressions? Does she make eye content? Is she smiling? Is she frowning? We instantly and intuitively assess these cues, and they help us determine what is happening in our communication.


On the telephone, you have none of those cues. That’s what makes it so scary. It’s as though you are suddenly blind, and you cannot tell what is going on. It is important to train yourself to listen very deeply when you are on the telephoneyou must hear those cues that you would normally see. And rememberyour prospect has no visual cues either! That is why it is imperative to use your voice expressively and have a clear message.

Outsourcing Your Bookkeeping

There are several distinct advantages to outsourcing your bookkeeping functions. First and foremost is saving money. Having said that don’t step over dollars to pick up dimes. You get what you pay for and if you don’t pay for quality than you won’t have quality service. However, you can save money by outsourcing because you won’t be paying for employer payroll tax expense (FICA, FUTA and SUTA) workman’s compensation and general liability insurances, vacation time, sick time, health insurance and other benefits a good full time bookkeeper will expect from his/her employer. Just remember, however, that these costs will be built into the consultant’s hourly rate and their fee will reflect these costs. Any bookkeeping consultant who has not taken these costs into consideration is not a bookkeeper you want – if they don’t know enough to include these costs into their fees, then they don’t know enough to be a help to your business. You should expect to pay at least three times what you would pay an experienced full charge bookkeeper.

And just how do you save money by paying three times the amount you would pay an employee? Well, let’s see. There will be no recruiting, interviewing and training costs for start. And if you should find yourself unhappy with the services there will be no additional recruiting, interviewing and training to replace your bookkeeper. Also, you will not have to be concerned about law suits such as sexual harassment, unlawful firing, age discrimination, sexist, etc. Or an increase in your unemployment rates because you laid off an employee that you really wanted to fire but had no lawful cause to do so. So right away we have less time and money spent and potentially less hassle if things don’t go well.

And of course you will not be paying the 7.65% employer’s share of FICA and Medicaid, or SUTA or FUTA expense, or workman’s compensation and general liability insurance premiums. Also any worthy bookkeeper will expect at least two weeks vacation, coverage for sick time, health and dental insurance, a 401k plan where the employer matches employee contributions and even perhaps more benefits.

Most free-lance bookkeepers will have their own offices saving you space within your office. So you will not be buying that extra desk, calculator, computer and computer software. Your bookkeeper will be providing all of that as part of his/her fee. No software updates, computer maintenance, training costs, etc. Of course should you prefer to have your computerized bookkeeping records available to you at your office, a small investment in software installed on your computer makes this possible. Also no office supplies to be paid for. You will be amazed at just how much pens, pencils, and paper can be used by a bookkeeper. Your consultant bookkeeper will either ask you to drop off the work at their office, will pick it up at your office or some may even offer remote bookkeeping service. And by having your bookkeeping done off site, your bookkeeper will be able to work more efficiently and accurately because her/his office will most likely offer less distractions than your busy office. All of this is saving you money.

And the best reason for outsourcing is that you control the amount of money spent on bookkeeping. What I mean by this is that the person you hire to do your bookkeeping will be doing just that – not answering the phone, dealing with drop-bys, chatting to other employees, etc. Also you can start with just a few hours a month and add on when you need to and then adjust downward again should it be necessary. Can you imagine finding an employee to start with only four hours a month, then asking them to put in 20 hours a week for awhile and then back down to four hours a month again. I don’t think you would keep them for very long, but a free lance bookkeeper is able to work around these variables and even more importantly expects to work with flexible schedules.

So have I convinced you yet? If so, then just remember “you will get what you pay for”. Go for top quality because your financial records are the core of your business and without great bookkeeping you cannot expect to succeed no matter what type of business you have. After all don’t you think you are worth it?

Buddy Icons

Online chatting has become a day-to-day necessity, and messaging software is available for this purpose. While chatting, a list of contacts is maintained, each one represented by an icon. These icons are commonly known as buddy icons, especially in the context of AOL messaging. The word buddy is commonly used to refer to friends, and buddy icons are used to represent contacts or buddies in chat rooms.

Buddy icons are small pictures that are placed next to names of contacts in a messenger and keep appearing to show who is chatting. They act as identities of people in a buddy list. Default icons can be used as provided by different messengers, new ones can be downloaded or unique ones can be created. Some people also like to display their personal photographs as their icon. The buddy icons and names remain dim if availability status is offline. Contacts can be communicated instantly only if they are online, otherwise they receive messages when they come online later. Buddy icons need to be compact and are very small in size, usually 48 x 48 pixels. They are available in easily compressible file formats like JPEG or BMP. Buddy icons are available in both still and animated forms. Creating a static icon is an easier process than an animated buddy icon. There are free software packages available to make simple icons. However, to do complex ones like moving cartoons or ones that require transformation, advanced software is much more convenient and is usually available only on payment. Advanced software packages are especially useful if the user is interested in creating many buddy icons and plans to make money by selling them.

Buddy icons are also used cleverly by advertisers. People download new and interesting icons meant to popularize a product or film. When in use, many people get to know about it automatically. One may be tempted to download or use an existing image for a buddy icon, but it may not always be an easy process. QuickBooks: Balancing the Bank Statement

Before beginning, here’s a quick recap of why the bank statement should be balanced each month as soon as you receive it:

  • Finding Errors. While banks don’t make errors very often, you only have a certain amount of time to alert the bank if you do find any.
  • Verifying Entries. Balancing the bank statement is one way to ensure your entries are being recorded properly in QuickBooks.
  • Takes Less Time. The longer you wait, the more transactions you will have to examine, making the process take longer than necessary.

Now that we know why we should balance the bank statement, here are step-by-step instructions to make sure it’s done right:

1. Open QuickBooks. From the top menu, select Banking, then select Reconcile. The Begin Reconciliation window opens.

2. From the Account drop-down box, select account you wish to reconcile.

3. Enter the Statement Date as shown on the bank statement.

4. Verify that the Beginning Balance in QuickBooks is the same as the beginning balance on the bank statement. If these amounts are not the same, you may have changed or deleted a previously reconciled transaction. See #b below.

5. Enter the Ending Balance as shown on bank statement.

6. Enter any Service Charges. From the Account drop-down box, select a Bank Service Charges account.

7. If the statement shows any interest earned, record it in the Interest Earned box. From the Account drop-down box, select an Other Income account called Interest Earned. If this account does not exist, scroll up to create it.

8. Click Continue. The Reconcile window opens.

9. Place a checkmark next to each entry that appears on the both the bank statement and in the Reconcile window. Notice that there are two columns-one for Checks and Payments and one for Deposits and Other Credits. Under normal circumstances both of these columns will have checkmarks in them when you are finished.

10. While doing this, verify that the amounts recorded in QuickBooks match the bank’s amounts exactly. If an amount in QuickBooks is incorrect, double click the entry to open and change it.

11. If all entries were made correctly, when you are finished checking off everything, the Difference (located in the bottom right corner) will be zero. If it is zero, click Reconcile Now.

12. IMPORTANT: when given the opportunity, print a Detailed report and staple it to the bank statement. If you are running QuickBooks Pro, the printed Detailed report will be your only record should you ever need to go back and see a previous reconciliation.

If the Difference is not zero, errors were made. Verify the following:

  • Checkmarks may be placed next to items that do not appear on the statement, or some items may not have been checked that should have been.
  • Carefully verify that all amounts in QuickBooks match the bank statement amounts exactly.
  • It’s possible, although unlikely, that the bank made a mistake by recording an item incorrectly. If this is the case and you can verify that the Difference is the amount of the bank’s error, contact your accountant. There are a couple different ways to handle this and your accountant will be able to advise you according to his/her preference and your situation.
  • Always try to make the Difference amount zero before clicking Reconcile Now!

Situations Requiring Outside Help:

a. Pro versions of QuickBooks allow access only the last month’s reconciliation. Premier versions allow access to all previous reconciliations. If you need a previous reconciliation report and are running QuickBooks Pro, ask your accountant if he/she is running Premier. If so, have your accountant upload your file to his/her computer, then generate the necessary reports.

b. Never delete or change a transaction after it has been reconciled. If you do, it alters the subsequent reconciliation, making it much more difficult. If the beginning balance in QuickBooks was not the same as on the statement, or if the Difference is not zero because a previously reconciled transaction was deleted, contact your bookkeeper or accountant to help resolve the issue.

c. If the difference amount was not zero when you reconciled, QuickBooks made an adjusting entry in both the checking account register and the account called Open Balance Equity (OBE). OBE should always have a zero balance. Contact your bookkeeper or accountant if you ever see a balance in this account.
